Define the visual standard before the shoot

Decide whether the portraits should use a clean background, show the Istanbul workplace or feel more editorial. Send examples from the organisation’s existing website or brand guidelines, including required crops, orientation, colour treatment and space for page layouts.

For an international team, explain whether the new portraits must match photographs made in another country. Ask how the photographer will test the background, framing and lighting before the full staff schedule begins.

Build a schedule the office can follow

• Give the number of people and any priority executives or fixed meeting times.
• State the room size, access hours, loading rules, available power and natural-light conditions.
• Allow setup, test photographs, individual arrival time and schedule overruns.
• Name one on-site contact who can organise staff and approve the test frame.
• Separate environmental portraits from rapid, repeatable headshots when estimating time.

Specify retouching, files and usage

Confirm how subjects select images, the retouching level, number of final files per person, file naming convention, background treatment, resolution, crops and delivery deadline. Ask how absent employees or future hires would be handled if visual consistency matters.

State where the portraits will appear, such as company websites, press material, professional profiles, internal systems or advertising. Commercial usage terms, raw files and long-term archive access should be written into the proposal rather than assumed.
