Define what the photographs must communicate

An architect may need form, material, circulation and context. A hotel may need rooms and shared spaces shown as a coherent guest experience. An exhibition team may need accurate installation views, while an industrial brief may need both the site and the work taking place inside it.

Name the primary audience and use. A focused list of essential wide views, transitions, details and contextual images gives the photographer room to interpret the space without leaving critical deliverables to chance.

• Property type, project stage and the people who must approve the images.
• Priority spaces, design features, materials, views and required orientations.
• Editorial, awards, press, portfolio, advertising or internal-documentation use.
• Whether the space should appear empty, occupied, styled or in operation.

Plan access around the building and the light

Confirm when each area will be complete, clean and accessible. Record opening hours, guest or staff movement, security procedures, loading access, power, parking, safety induction and any restrictions on tripods or lighting.

Exterior, interior and twilight views may need different windows. Ask the photographer to explain the proposed sequence and whether a site visit, floor plan or remote walk-through is needed before the assignment.

Agree the finish, delivery and licence

Set expectations for perspective correction, colour, window views, object removal and other retouching. List the number and type of final files, horizontal and vertical needs, naming, resolution, delivery date and approval process.

Architects, designers, property owners, operators, contractors and publications may all want to use the work. The agreement should identify the commissioning party, permitted users, channels, duration, territory, credit line and any separate fee for third-party use.
